Privacy Policy
Vidyron Society (com.vidyron.society) · Last updated: 15 August 2026
Vidyron Society is an app for managing residential housing societies. It is used by society committee members, residents and their household members, and security staff at the gate.
This policy explains what personal data the app collects, why, who it is shared with, how long it is kept, and how you can delete it.
How your society fits in. Your housing society decides to use this app and controls the resident, billing and security records inside it — the society is the data controller. We operate the app and its servers on the society's behalf as the data processor. For questions about records your society holds about you, contact your society's committee first.
1. Who we are
The app is published by Vidyron. For any privacy question, or to exercise the rights described in section 8, contact us at support@vidyron.in.
2. What we collect, and why
| Data | Why it is collected |
|---|---|
| Name, phone number, email address | To create your account, sign you in, and let your society identify you as a resident or staff member. |
| Flat / unit and ownership status | To scope your bills, notices and visitor approvals to the correct home. |
| Profile photo, date of birth, bio, household size, pet details | Optional profile details you choose to add, visible within your society. |
| Emergency contact name and number | Optional, so security staff can reach someone in an emergency. Chosen by you from your contacts or typed manually. |
| Maintenance bills and payment records | To bill you and record what has been paid. Required for your society's accounts. |
| Visitor, delivery and gate-pass records | To alert you when someone arrives for your flat and to keep the society's entry log. |
| Complaints, suggestions, amenity bookings, notices and chat messages | The everyday features you use in the app. |
| Vehicle number plate | To register your vehicle for parking and, where the society uses camera-based entry, to open the gate. |
| Device notification token | To deliver push notifications to your devices. Removed for a device when you sign out. |
Sensitive data: face recognition
Some societies enable camera-based (CCTV) entry recognition. This feature is optional and off unless your society turns it on. Where it is used and you choose to enrol:
- We store the enrollment photographs you provide, and a face template — a numeric representation of your face used to recognise you at the gate.
- Cameras at society entrances record detection events, which include a snapshot image, the time, and the matched name or vehicle plate (or "Unknown").
- Face data is used only to identify residents and registered persons at your society's own entrances. It is never used for advertising, never sold, and never shared with other societies.
- Face recognition is processed on servers operated for your society. It is not shared with any third-party face-recognition provider.
If you do not want to be enrolled, ask your society not to enrol you; the rest of the app works without it. You can ask for your face data to be deleted at any time, and it is always destroyed when you delete your account (see section 7).
Device permissions
Each permission is requested only when you use the feature that needs it, and you can refuse or later revoke it in Android settings.
| Permission | Used for |
|---|---|
| Camera | Taking a profile photo, attaching photos to complaints, scanning visitor QR codes, and face enrollment where enabled. |
| Microphone | Recording voice messages in chat, and voice input where you use it. |
| Contacts | Only to let you pick an emergency contact. Your contact list is not uploaded, stored or scanned — only the single contact you select is saved. |
| Notifications | Visitor and delivery alerts, bill reminders, complaint updates and announcements. |
| Full-screen alerts & screen overlay | To show time-critical gate alerts (a visitor or delivery waiting at your door, or an SOS) over the lock screen, so they are not missed. If you deny these, the alert becomes an ordinary notification instead. |
| Biometrics (fingerprint / face unlock) | Optional quick sign-in. This uses your device's own biometric check — your fingerprint or face is verified by Android and is never sent to us or stored by the app. |
| Storage / photos | Attaching and saving images and documents such as receipts. |
3. What we do not do
- We do not sell your personal data.
- We do not use your data for advertising, and the app contains no ads.
- We do not share your data with other societies on the platform. Each society's data is kept separate.
- We do not upload your contact list, photo library, or track your location in the background.
4. Payments
Maintenance dues and other society charges are payments for real-world services provided by your society. Card and UPI payments are processed by Razorpay, and your full card details are entered with the payment provider — we do not receive or store your card number, CVV or UPI PIN. We keep the payment reference, amount, date and status so your society can reconcile its accounts.
Where you upload a payment screenshot or reference for manual verification, that record is visible to your society's committee.
6. How long we keep it
- Your account details — while your account is active. See section 7 for what happens on deletion.
- Face data — until you or your society remove it, or until your account is deleted, whichever is first. It is never retained after deletion.
- Billing and payment records — retained by your society for as long as its accounting and statutory obligations require, even after you leave. After you delete your account these are held in anonymised form (see section 7).
- Visitor, delivery and gate records — retained by your society as part of its security log.
7. Deleting your account
You can delete your account yourself at any time:
- In the app: Settings → Account → Delete Account
- On the web: https://api.vidyron.in/delete-account.html
You will be asked to confirm with your password. Deletion is permanent and cannot be undone.
What is deleted
- Your name, phone number, email address and password
- Your profile photo, date of birth, bio, household details and pet information
- Your emergency contact details
- All face recognition data — your face template and every enrollment photograph are permanently destroyed
- All device notification tokens, so notifications stop immediately
- Your access to the app — you are signed out on every device and cannot sign in again
What is kept, and in what form
Your society's maintenance, payment and accounting records are retained, because a housing society is required to keep its financial records. After deletion these are anonymised: they are no longer linked to your name, phone number, email address or any other detail that identifies you. The same applies to entries in society audit logs.
If you are your society's chairman, you cannot delete your own account until you hand the chairman role to another committee member — otherwise the society would be left without an administrator.
8. Your rights
You can:
- Access the personal data held about you
- Correct it — most details are editable in Settings → Profile
- Delete your account and personal data, as described in section 7
- Object to face recognition, by asking your society not to enrol you or to remove your enrollment
- Withdraw permissions at any time in your device's Android settings
To exercise a right we cannot action in the app, contact support@vidyron.in and we will respond within 30 days. For records controlled by your society, we may need to refer you to your society's committee.
9. How we protect your data
- All traffic between the app and our servers is encrypted using HTTPS.
- Passwords are stored using one-way hashing (bcrypt) and can never be read back.
- Changing your password or phone number signs you out on all devices.
- Access is restricted by role, so residents, staff and committee members see only what their role permits.
- Each society's data is separated within the platform.
No system can be guaranteed completely secure, but we take reasonable measures to protect your information.
10. Children
The app is intended for adult residents and society staff. Accounts are created by your society, not by children. Where a society enables face recognition, a household member under 18 may be enrolled by a parent or guardian, who chooses whether to do so and can have that data removed at any time.
11. Changes to this policy
If we change this policy we will update the date at the top of this page, and where the change is significant we will notify you in the app.
